UNC Hospitals Catering
Planning Guide and Policies

GENERAL INFORMATION

The Catering Department business office is located on the ground floor of Memorial hospital inside the hospital’s main kitchen. The business office is open Monday – Friday 8am – 4pm.

Please complete the catering form and email your orders to catering@unch.unc.edu at least 3 business days before your event. We can accept order up to 1 year in advance, so feel free to send your order in as soon as possible.  Please make sure to include all contact information including your phone number and account number on your form.  Your catering is not confirmed until your CaterTrax pin has turned green. If you have questions or need more information, please call the Catering Department at 984-974-7895.

The Catering Department delivery Service hours are Monday – Friday 7am – 6pm. Service outside of these hours is available on a case by case basis. Additional Labor charges will apply.

BOOKINGS & CANCELLATIONS

UNC Catering must receive your catering request at least 3 business days in advance. If an emergency arises or you have a last minute need, please contact us via phone (984-974-7895) to discuss what options are possible.  

 

We ask that all details & final count of guests are given at least 24 hours in advance. 

Cancellations must be given at least 24 hours in advance via email. Larger events will require an earlier cancellation date to be determined by the client and UNC Catering. If an event is not cancelled at least 24 hours in advance, UNC Catering reserves the right to charge a 50% cancellation charge.

ROOMS RESERVATIONS

Conference Rooms at UNC Health Care are supervised by a number of different people and organizations. We can provide you with a list if you need to find a space for your event. Our catering team can also work with you to determine how much time you will need to book for your event. If our catering team is delivering an order to you, we usually need at least 30 minutes before and after a catering for set up and break down.

Many of these conference rooms remain locked at all times. In order to deliver your food in a timely manner, we ask that you have the room unlocked and a representative present when we deliver your catering as we cannot leave your food unattended.

If your event takes place in a common use area of the hospital, such as a lobby or break room, we are required to clean-up after your event. If your event is after hours, please note this may incur extra charges.

At this time, the Catering Department does not have tables available for use. If needed, we can coordinate table rentals at an additional charge. If you are interested in a free table option, please contact our Central Distribution department at 984-974-4306 to reserve the tables.

 

EQUIPMENT

Clients are responsible for insuring that all UNC Catering equipment & supplies are returned or available for pickup after an event without damage. Any missing or damaged equipment will be charged to the client.

EVENT SERVICES

We offer a variety of event services such as equipment & furniture rentals, linens, lighting, music, floral, bar service and event planning. Prices vary for specific services. If you are interested in any of these services, please contact our Catering Manager at 984-974-7895.

LABOR FEES

There is a charge $22.00 per person per hour for all events delivered or picked up outside of 7am – 6pm Monday – Friday. Additional labor charges will be added for events over 100 people, events requiring special menu or event planning or events requiring personnel to stay on-site. Please contact the catering manager for additional information. 

 

DELIVERY FEES

We deliver to all UNC Hospital on & off-site locations per the location list below.  Order amount is after discount and does not include rentals, taxes, labor fees etc.  Delivery fees for locations not listed will be provided upon request.

PICKUPS

You are always welcome to save delivery fees by picking up your order.  Orders can be picked up on the Ground Floor of Memorial in the Main Kitchen.

PAYMENTS

We accept cash, checks, and UNC Hospital & University accounts for billing orders. All Hospital sanctioned events billed internally to a UNC Hospital Cost Center will receive a 20% discount. We apologize but we Catering does not accept Freedom Pay at this time.

All food and drinks must be provided by N&FS and the following steps taken to ensure the safety of those in attendance.

1. North Carolina Fire Code Section 2404.15.6 Outdoor cooking states that cooking that produces sparks or grease-laden vapors shall not be performed within 20 feet of the tent, canopy or membrane structure. For the purpose of determining required distances, support ropes and guy wires shall be considered as part of the temporary membrane structure, tent or canopy.

2. North Carolina Fire Code Section 2404.7 states that open flame or other devices emitting flame, fire or heat or any flammable or combustible liquids, gas, charcoal, or other cooking devices or any other unapproved devices shall not be permitted inside or located within 20 feet of the tent, canopy or membrane structure while open to the public unless approved by the fire code official.

3. North Carolina Code Section 2404.15.4 Operations states that warming of foods, cooking demonstrations and similar operations that use solid flammables, butane or other similar devices which do not pose an ignition hazard, shall be approved.

4. When propane burners are being utilized, all propane cylinders must be stored in an acceptable storage device (See Appendix 5: Example of Acceptable Propane Tank Holder).

5. LP gas equipment shall be in accordance with Sections 2404.16.1 thought 2404.16.3.

6. Additional fire extinguishers for cooking and/or warming equipment in which an open flame is utilized are required pursuant to North Carolina Fire Code 2404.12, Section 906. The fire extinguishers should be wall mounted or placed in portable fire extinguisher stands (See Appendix 6: Example of Acceptable Portable Fire Extinguisher Stand).  Day-Glo type signs must be placed above each extinguisher to indicate the location and must remain luminescent during the entire event.
